Managing Users

A guide to adding, removing, and managing user access within Scaler, including roles, permissions, and best-practice governance.

Your Scaler license includes unlimited user accounts. Scaler has two user roles: Admins and Members. Each role determines access rights across the Scaler platform, which includes the Analytics Portal (AP)— view rights— and Data Collection Portal (DCP)— view and edit rights.

User Roles

Admins

 

Admins have full access to:

  • All assets, portfolios, and company-level settings
  • All sections of the platform (both AP and DCP)
  • All data permissions (view, edit, approve)

Admins can:

  • Add and manage other users
  • Define access rights for users (by portfolio or company level)
  • Configure company settings
  • View, edit, and approve data across the entire organization

Note: Admins can only assign users within their company account. If you want to grant access to someone outside your organization (e.g., a consultant or joint venture partner), please contact your Account Ops Manager or reach out to client-success@scalerglobal.com.

Example:

Roles like internal ESG managers, sustainability leads, or investment team leads are typically set as Admins.


Members

Members have customizable access:

  • Access can be granted per portfolio
  • Rights can be limited to view-only, or extended to include data input and editing

Member rights:

  • View: Access to the Analytics Portal to view performance data and portfolio insights
  • View & Edit: Ability to add or edit data in the Data Collection Portal

Examples:

  • View-only: Investors, limited partners
  • View & Edit: Property managers, ESG consultants
 

Inviting a New User

  1. Navigate to: Company Settings → Users → New User

  1. Complete the form and send the invitation
  • The invitation link is valid for 2 weeks
  • If the user doesn’t receive it, ask them to check their spam or junk folder
  • After expiration, you’ll need to resend the invite
 

Setting User Permissions

When inviting a user, you can:

  • Assign a role (Admin or Member)
  • Set portfolio-specific permissions:
    • View only → Access to the Analytics Portal
    • View & Edit → Access to both the Analytics Portal and Data Collection Portal
